October 2026: Session transcripts are now available to everyone

A lot of the work of coaching happens around the session itself. Before you meet, you might read through what a client has shared or return to something you noticed last time. Afterwards, there are observations you want to keep and next steps you’ve agreed on together. Over time, those details build into a fuller picture of the person you’re working with.
This month, we’ve focused on making it easier to bring that context into Pineway and use it in your day-to-day work. There are more ways to bring over the notes you already have, make sense of them and carry what matters into your next session or follow-up.
And one of the biggest additions this month is that session transcripts are now available to everyone.
And it doesn't stop at the transcript. Whether you're working from a session transcript or notes you've written yourself, you can use that context to create summaries, action items, and follow-ups that help you carry the conversation forward.
Session transcripts

Session transcripts are now available to everyone on Pineway.
Over the past few weeks, we've been testing this with a small group of coaches, learning how they use transcripts in their day-to-day work. Now, every coach on Pineway can capture their sessions and return to the conversations in writing.
When enabled, Pineway joins your Google Meet session as a visible participant and prepares a transcript afterward. You'll find it in your client's Notes tab, alongside your other notes. You can revisit what was discussed, pick up on details you might have missed, and use the conversation to prepare summaries, action items, and follow-ups with Pip.
Automatic recording is enabled by default, but you can turn it off under Settings → Session recorder. The underlying recordings are not available for playback and are deleted after seven days by default. You can adjust the retention period in the same settings.
We also encourage you to discuss recording with your clients beforehand, so everyone understands how the conversation will be captured and used.
Client notes
If you've been working with a client for a while, chances are you already have notes scattered across documents and folders. You can now bring those notes into Pineway, rather than starting from scratch.
Import notes from shared Google Drive folders or upload PDFs, Word documents, and text files. You can do this when adding a new client or bring notes into an existing client's workspace. Everything stays private unless you choose to share it.
Your client's Notes tab brings those earlier notes together with everything you add as your work continues. You can also connect notes to specific sessions, making it easier to return to what was discussed and when.
Whether you're starting with someone new or bringing years of client history into Pineway, the work you've already done can now be part of what comes next.
Summaries and action items

Not every detail from a session needs the same attention. Sometimes you just want to see the important things without reading through an entire conversation again.
Pip, Pineway's AI assistant, can help you summarise your notes, highlight key themes, and identify areas worth returning to in your next session. You can review and edit the summary yourself, so it reflects what you think matters most.
We've also given action items a place of their own. You can keep track of what you and your client agreed to do, assign items to either person, and mark them complete as you go.
The next time you're preparing for a session, you have a clearer picture of what was discussed and what still needs attention.
Your notes and summaries remain private unless you choose to share them. Action items assigned to you are private, while you can decide whether items assigned to clients should appear in their Client Portal.
Follow-ups

Following up with a client shouldn't mean starting from a blank page every time.
Pip can use your session summary, notes, and action items to draft a follow-up that reflects what you discussed and what comes next. Instead of piecing everything together yourself, you have a starting point you can work from.
The draft opens in an editor where you can make changes, add anything you want to say, and make sure it sounds like you. Nothing gets sent until you're happy with it.
Once it's ready, you can share the follow-up in your client's portal and send it by email if you choose. And if you'd rather write the whole thing yourself, you can start with a blank draft instead.
Session preparation and settings
We've also made a few improvements to help you prepare for upcoming sessions.
Your booking details now include a What to know card, giving you quick access to a client's form responses and previous session context when available. We've also made the important booking information easier to find, including who you're meeting, when and where the session takes place, and which offer they booked.
There's also a new minimum booking notice setting for each offer. This lets you decide how much advance notice you need before a client can book a session.
Existing offers have been given a two-hour minimum, which you can change anytime under Minimum notice in your offer settings. Sessions that have already been booked won't be affected.
We're grateful to the coaches who've been testing these features and sharing their feedback along the way. A lot of what we've released this month has been shaped by those conversations.
Whether you're bringing over years of notes, revisiting a session transcript, or preparing your next follow-up, we'd love to hear how these changes are working for you.
