Calendar & integrations

Connect Google Calendar, Apple Calendar, Google Meet, or Zoom so Pineway can check conflicts, add sessions to your calendar, and create meeting links.

Connect Google Calendar or Apple Calendar to fit sessions around your existing schedule, and connect Google Meet or Zoom to create meeting links for clients. Scheduling and video conferencing are separate connections, even when they use the same Google account.

Choose the connection you need

Connecting Google Calendar does not connect Google Meet, even when both use the same Google account. Connect each one you need.

Connect Google Calendar

Google Calendar connects through your Google account, so you approve access in Google rather than entering credentials in Pineway.

  1. Open Calendar settings. You can also open Sessions, select Availability, then select Calendar settings.
  2. Select Connect Calendar or Connect beside Google calendar, then sign in to Google and approve access.

Pineway returns you to Calendar settings, where your Google account and its calendars appear. Choose the destination and conflict calendars next.

Connect Apple Calendar

Apple has no sign-in redirect for calendar access. You connect with your Apple ID and an app-specific password.

  1. Sign in at Apple ID account settings (opens in a new tab) and generate an app-specific password for Pineway.
  2. Open Calendar settings, then select Connect Calendar and choose Add Apple Calendar. You can also select Connect beside Apple calendar under Calendars.
  3. Enter your Apple ID and the App-specific password you generated, then select Connect. Pineway checks the credentials with iCloud before saving them, so a wrong password fails here rather than quietly breaking bookings later.

Apple calendar now shows Connected under Calendars, and each calendar on the account appears under Check for conflict. Choose the destination and conflict calendars next.

Choose where new sessions are added

Pineway adds each booked session to one calendar, whichever provider it belongs to. Setting the destination yourself keeps sessions out of a calendar you share or archive.

Open Calendar settings and choose the calendar under Add sessions to. Your calendars appear grouped under the account they belong to, so pick the account first when you have connected more than one. Your choice is automatically saved and applied to new sessions.

Choose which calendars block your availability

Your availability schedule sets the working hours clients can choose from. With conflict checks enabled, clients will only see times that are genuinely free.

Open Calendar settings and turn on each calendar Pineway should check under Check for conflict. Leave a calendar off when its events should not affect your session availability — a personal calendar you keep separate from client work, for example. These choices also save on their own.

Under Buffer between meetings, choose how much time to keep free before and after booked sessions if you do not want clients booking back-to-back times. None is the default.

Under Start times, choose how often clients can begin a session. 30 minutes is the default. Match a 5- or 10-minute buffer with a 5- or 10-minute increment so the times in between a 30-minute grid can appear.

To confirm the setup, open your booking page and look at an hour you know is busy in a calendar you turned on.

Connect Google Meet or Zoom

A meeting integration lets Pineway create a private meeting link when a client books. Connect the provider before selecting it as an offer’s location.

  1. Open Integrations, then find Scheduling.
  2. Select Connect for Google Meet or Zoom, then sign in to that service and approve access. Pineway returns you to Integrations.
  3. If you connect both providers, select Set as Default on the one you want preselected when you create a new offer. The first provider you connect is the default until you change it.
  4. Open the offer editor and choose the connected provider under Location. This choice controls which kind of meeting link the client receives for that offer.

The Scheduling card shows Default on the provider Pineway preselects for new offers and Connected on any other connected provider. In a new offer, the same default provider appears under Location.

Changing the default does not change existing offers. Edit an offer and update Location when it should use a different provider.

Disconnect a calendar or meeting provider

Disconnect a service when Pineway should stop checking its calendars or creating its meeting links. Review the affected offers first so future bookings still have the availability and meeting details clients need.

Disconnect Google Calendar or Apple Calendar

  1. Open Calendar settings.
  2. Under Check for conflict, find the connected account and select Disconnect, then confirm.

Pineway stops checking that account’s events for conflicts and stops adding, moving, or removing booked sessions in its calendars. Events Pineway added before you disconnected are not automatically removed.

To reconnect Google Calendar or Apple Calendar, you will have to go through the steps outlined above again.

Disconnect Google Meet or Zoom

  1. Open Integrations.
  2. Under Scheduling, select Disconnect for the provider you want to remove, then review the warning and confirm.

If another meeting provider remains connected, Pineway makes it the default for new offers. Existing offers keep their current Location, so update any that used the disconnected provider. If no meeting provider remains connected, new bookings do not include a meeting link until you connect one and select it for the offer.

Fix common setup problems

A meeting location says “Connect in settings”

The provider is not connected to your Pineway account. Open Integrations, connect that provider, then return to the offer and select it under Location.

A calendar event does not block a booking time

Open Calendar settings and turn on that calendar under Check for conflict. Pineway only removes busy times from the calendars enabled there; your availability schedule still decides the working hours clients can choose from.

Apple Calendar will not accept your password

Apple only accepts an app-specific password for calendar access. Generate one at Apple ID account settings (opens in a new tab), then enter it again.

Apple calendar shows Needs attention

The stored credentials stopped working, usually because the app-specific password was revoked or changed in your Apple account. Select Reconnect beside Apple calendar under Calendars and enter a new app-specific password.

A booked session is added to the wrong calendar

Under Add sessions to calendar, change Add sessions to to the intended calendar. The new destination applies to sessions booked after the change.
