Clients
Keep the bookings, purchases, and session notes for each person you work with together in one client record.
Clients keeps each person’s bookings, offers, and notes together. Open a client’s record before a session to remind yourself what they bought, what you have already completed, and what you agreed to do next.
Pineway adds client records through checkout or an invitation. Once a record appears, it stays in your client list.
How someone becomes a client
How someone joins determines what you see when their record first appears.
| How they join | What appears in Clients |
|---|---|
| They check out | Their record appears after the booking is confirmed, with the booking already attached. |
| You invite them | Their record appears as soon as you send the invitation. It shows Pending until they sign in for the first time. |
Both routes create the same kind of client record. Use checkout when someone is ready to book an offer. Invite someone when you already work together and want them to have access before they book.
The client does not need a Pineway account first. Checkout asks for their name and email address, while an invitation sets up the account for that email address.
See Add a client for both routes and the Pending state.
What a client record holds
Select a client from the list to open their record. The record is organized into four tabs:
- Summary shows when they joined, how many sessions are complete, what they have paid, and their next scheduled session.
- Bookings shows every session they booked with you. Sessions are grouped under their offer and include their current status.
- Offers shows each offer they bought and their progress through its sessions.
- Notes separates your private notes from notes you share with the client.
Find the client you need
The client list stays on the left while a record is open. This lets you review several clients without returning to the previous screen.
- Use Search by name or email to narrow the list. Your current record stays open until you select a different client.
- Use Sort by to show Newest or Oldest clients first. This uses the date they joined your client list, not the date of their latest activity.
Know the limits
You cannot delete or archive a client. Once someone books, buys an offer, or receives an invitation, their record stays in your client list.
Clients requires a paid plan. Core includes up to 12 clients, while Pro removes the limit. You can compare plans on Plans.
To review upcoming sessions across every client, open Bookings. A client record only shows the bookings for that person.
