Add a client
Let a booking add someone to your client list, or invite a person you already work with, and understand what Pending means.
Most people become clients when they book an offer. If you already work with someone, you can invite them before they make their first booking.
Both routes add a record to Clients. The booking route includes their first booking, while an invitation starts with an empty record marked Pending.
Let a booking add them
Send the person an offer link or direct them to the offer on your Pineway page. When they complete checkout, Pineway creates their client record for you.
- The client opens the offer and chooses an available date and time. The booking window starts in their timezone, and they can change it if needed.
- They enter their Name and Email. Both are required, but they do not need to create a Pineway account.
- For a free offer, Pineway confirms the booking after they provide these details. For a paid offer, the booking is created after payment succeeds.
The name and email entered at checkout become the details on the client record. If an entry looks unfamiliar, the client may have used a work address or a shortened name.
Invite someone yourself
Invite someone you already work with when they need access before booking. The invitation sets up their account and sends a sign-in link to their email address.
- Open Clients and select Invite client in the top-right corner. On an empty client list, the Invite a client button in the middle of the page opens the same form.
- Enter the client’s Name and Email. Use an email address they read because Pineway sends their sign-in link there.
- Set Timezone to the client’s timezone so Pineway shows their booking times correctly. The field initially uses your timezone.
- Select Send invite. The client appears in your list immediately, and Pineway emails their sign-in link.
If the email address already belongs to a Pineway account, the invite links that existing person to you rather than creating a second account. You cannot invite your own address.
What Pending means
Pending means you invited this person and they have not signed in yet. Their record exists, but they have not booked or added any activity:
- The Summary tab carries the notice “This person hasn’t joined yet. You’ll be able to work with them once they accept.”
- Next session reads Nothing scheduled yet, because they have not been able to book.
- The Notes tab does not show the New note or Add session note actions. You can add notes after they join.
The badge clears the first time the client signs in. If it remains after several days, ask them to check the email address you used and their spam folder. Sending the invitation again to the same address does not create a second client.
Clients who arrive through checkout do not show Pending because their record is ready when the booking is confirmed.
When you cannot add another
Core includes up to 12 clients over the lifetime of your account. The count does not reset each month, and Pro removes the limit. When you reach the limit, you need to upgrade before you can send another invitation.
The count includes people you no longer work with because clients cannot be removed. Count the names on Clients to see how much room remains. Plans shows what each plan includes and lets you upgrade.
