Review a client
Read a client record before a session: the Summary figures, the Bookings tab, and how far through an offer someone is.
Review a client record before a session to see what the person bought, what you have already completed, and whether they have sessions remaining.
Open Clients and select the person from the left-hand list. Use Summary for the current picture, then check Bookings or Offers when you need the detail behind it. For the Notes tab, see Write client notes.
Read the Summary
Start with the three cards at the top:

| Joined | The date of their first booking, or the date you invited them. |
| Sessions completed | Sessions marked complete or cancelled. |
| Total earned | What the client paid across completed purchases before payment processing fees. Free offers add nothing. |
Read Sessions completed as sessions that have been closed out, not sessions the client attended. A client who attended once and cancelled twice shows 3. A session whose start time has passed without being marked complete is not counted and appears in Bookings as Missed.
The counters on the Bookings and Offers tabs use the same definition of done, so they may also differ from the number of sessions the client attended.
Total earned is what the client paid, taken before payment processing fees. It can be higher than the amount that reaches your payout balance and will not match the client’s contribution to Income.
Below the cards, Next session shows the next booking they have with you, with its time and length. When there is nothing on the calendar it reads Nothing scheduled yet.
Review the client’s bookings
Open Bookings for the session history. Sessions are grouped under the offer
they came from. Each offer heading includes a counter such as 0/1 or 2/3,
showing how many sessions are complete or cancelled.
Each row beneath gives you the session name, its length, the date, the time range, and a status. Selecting a row opens that booking in Bookings, which is where rescheduling, cancelling, and joining happen. The client record shows the history but does not change it. Use the status to understand where each booking stands:
- Upcoming means the start time is still ahead.
- Missed means the start time has passed and the session has not been marked complete. Pineway applies this status at the start time, so a session in progress also reads as Missed.
- Completed means the session was marked done.
- Cancelled means either you or the client cancelled it. The booking stays on the record.
Several Missed rows may mean sessions were not marked complete rather than that the client did not attend. Check the booking history before drawing a conclusion.
Review the client’s offers
Open Offers to see each offer the client bought. Every card shows the offer name, purchase date, amount paid, and progress through its sessions.
The card shows In progress while any session remains open and Completed once every session is complete or cancelled. For a multi-session offer, the progress line tells you how many sessions are done and how many remain.
Because cancelled sessions count as done, an offer whose sessions were all cancelled shows Completed. If a client believes they still have sessions available, check the individual rows under Bookings before relying on the offer status.
Move between client records
The left-hand list stays in place while you review a record.
- Use Search by name or email to narrow the list. The current record stays open until you select another client.
- Use Sort by to show Newest or Oldest clients first. Pineway sorts by when each person joined your list, not by recent activity.
